Promoting Better Tech Support Through Video Conferencing


Moving data storage to the cloud increasingly seems like the most reasonable option for many businesses, according to Cloudwards. Keeping data, programs, and communication secure and backed up is smart, and also alleviates some of the strain on a company’s resources. Even if a business farms out its storage to another location though, things can still go wrong and there may be employees who don’t understand all the technology that is being used. That is why having at least one IT person on staff is crucial, since some things require the human touch, even if it is just explaining how computers function. Some small businesses can’t support an IT staff in the office, so they are moving that off-site as well. Even if that isn’t the case, everyone has constant access to office-related things through smart-phones, tablets, and laptops and it’s important to have an IT person be able to reach the staff on any device. Video conferencing for IT, using software such as Blue Jeans, can make this sort of communication infinitely easier by allowing easy access to any member of a team no matter where they are working. No matter where the IT team is and no matter where the rest of the company is heading off to, it is easy to use video collaboration to see what everyone is doing and solve issues on the fly.

Using New Technology for Digital Collaboration
According to ComputerWeekly, the cost of obtaining high quality video conferencing software is continuing to decrease as technology continues to improve. In addition to myriad file and data storage options, it isn’t necessary to bog down company servers to communicate. Mobile offices aren’t just an option, but expected from clients that are hoping for a quick turnaround. That doesn’t mean using the internet and data plans to connect are foolproof though, and there is still the possibility of human error, which is why IT needs to be able to communicate and troubleshoot as soon as possible. Using the same software that the rest of the company uses to share files, host presentations, and hold question-and-answer sessions, IT can make sure everything is running smoothly. It is critical to be running up-to-date software and allowing the company full access to updated files, and this can be made easier through digital communication. It isn’t necessary to set up expensive infrastructure or purchase pricy equipment to assure strong lines of communication. Smart companies use the resources they already have to create networks for everyone to operate efficiently.

Video Collaboration for Higher Quality Tech Support

It is important to take advantage of everyone’s individual skill set. Not everyone in a given company is going to be as technologically advanced as everyone else. This is OK though, when there is a backbone of good IT people to help guide those less familiar through the process. However, it isn’t practical to give everyone in the company an individual tutorial on how their devices function at all times. Video conferencing is a great option when it’s necessary to train a large group of people at once. These sessions are automatically saved to the cloud, so it isn’t even necessary to always host these training sessions live. Simple troubleshooting can become the necessary training functions later, with little additional effort.

Meeting in person isn’t always the most effective way to solve an issue, especially since travel for all parties can cut down on time that is crucial for making the necessary fix. The phone is a fast solution, though they don’t give the person the means to show what is wrong. E-mails can be a fine option when a problem isn’t time-sensitive and needs further visual cues to help the IT person understand the issue. Video conferencing is the best of all worlds though, as it allows the IT person and the employee to collaborate through the same screens, manipulate data in tandem, and explain the issue through multiple means to resolve the problem as quickly as possible. Using cloud-based systems to see the issue and to talk it through are a great way to assure that systems aren’t being over-taxed.

Businesses are reliant on technology to make their lives easier at every turn; it makes sense to use the same software and equipment being used for other purposes to make the employees lives easier as well. This allows for greater work-life balance, less stress, and happier employees that are cranking out higher quality output more consistently. Allowing both the IT team the flexibility of carrying out their responsibilities anywhere and the resources to do their job well makes for a more motivated company and a more successful business. Web conferencing is often the best way to communicate, and is a great way to give everyone in an organization piece of mind to do their jobs at the highest capacity.
