10. 6.    Microsoft Exchange Server Integration

You can integrate MetaFrame Conferencing Manager with Exchange Server 5.5 or Exchange Server 2000 and Outlook 2000 and XP to allow users to turn any Outlook calendar appointment into a MetaFrame conference. Users can also book MetaFrame Conferences in advance through their Outlook calendar.

To integrate MetaFrame Conferencing Manager with Exchange Server, you must perform the following tasks.

1.       Install Outlook on every MetaFrame XP server that you will be installing the MetaFrame Conferencing Manager User interface.

         You are required to Install Microsofts Collaboration Data Objects (CDO) with Microsoft Outlook. To do this, run the Microsoft Office installer package and select Collaboration Data Objects from the list of features to install.

         Configure a Microsoft Exchange Server Outlook profile in every users Windows profile with Logon network security set to Password Authentication

To ensure that Outlook integration works in a load balanced environment, Citrix recommends that you enable Roaming profiles if you install Outlook and the MetaFrame Conferencing Manager User interface, CMCM.exe, on more than one server.

         Configure Outlook to be the default email client on each of these servers.

Note: This can be done by installing Microsoft Office as documented in the Installing Microsoft Office section found in the appendix of this document.

2.       Create an ICA file to launch the Conferencing Room published application. This ICA file will be embedded in to the Conference Manager custom Outlook form to give the end-user a way to click an icon to launch the Conference Manager User Interface.

3.       Install the Conferencing Manager Custom Outlook Form.

4.       Install the Conferencing Manager Outlook Add-In button. This button, when clicked launches the custom MetaFrame Conferencing Manager form to be used to schedule a meeting.

 

 

 

 


10. 6. 1 How to Create a Conferencing Manager User Interface ICA File

The first thing you need to do is create an ICA file that corresponds to the MetaFrame Conferencing Manager User interface. This ICA file will be added to every Outlook meeting request to enable the participant can click the ICA file to launch the meeting.

1.       Open the Management Console for MetaFrame XP and expand the Applications folder. Right click on the Citrix MetaFrame Conferencing Manager published application. Click Create ICA file.

 

2.       Click to select the Explain each setting radio button and click Next to continue.


3.       Specify the session settings and click Next to continue.

 

4.       Specify the Encryption setting and click Next to continue.

Note: because you are not able to use the Secure Gateway with a static ICA files you might want to enable RC5 128bit encryption.


5.       Click to select Compress ICA data stream check box to enable additional compression on the ICA protocol.

 

6.       Select the desired audio settings and click Next to continue.

Note: Unless there is a good reason to enable audio, I recommend you disable it.


7.       The next screen you are presented with asks you if you would like to use TCP/IP+HTTP Browsing to connect to the MetaFrame session. This is the configuration I recommend. Check the Use TCP/IP+HTTP Browsing check box and enter a MetaFrame XP server and XML port address. Click Next when finished.

 

8.       Specify the name and location for the newly created ICA file. Click Next to continue.


9.       Click Next to continue.

 

10.   Verify the settings are correct and click Finish to continue.

 

 

 


10. 6. 2 How to Install the Conferencing Manager Custom Outlook Form

Since the release of Conferencing Manager 2.0, Citrix has released a patch to address the need for an administrator to manually trust the Conferencing Manager Add-In DLL with Outlook. This patch includes both the Add-In button and the custom Outlook forms that will be used in this and the next section.

To give you a bit more background, Outlook 2002 and Service Packs 2 and 3 for Office 2000 ships with Microsoft's Outlook Object Model Guard. The security features of Outlook Object Model Guard are designed to protect users from most email and worm viruses that replicate through Outlook. By default, Outlook Object Guard blocks applications from accessing the Outlook address book and prompts users to allow access. As a result, when you integrate MetaFrame Conferencing Manager with Outlook 2002 or Outlook 2000 Service Packs 2 or 3, users scheduling a MetaFrame Conference through Outlook using the MetaFrame Conference Form are presented with the security warning dialog box.

The following defines how to install the Citrix MetaFrame Conferencing Manager custom Outlook form.

1.       Download Hotfix MCM200W003 from: http://support.citrix.com/kb/entry!default.jspa?categoryID=240&entryID=3166&fromSearchPage=true

2.       Double click to extract the contents of the MCM200W003.exe to a folder on your system drive.

3.       Open Microsoft Outlook click Tools from menu bar click Forms click Design a Form.

 


4.       Click to drop down the Look In drop down box and click to select User Templates in File System

 

5.       Click the Browse button

 


6.       Click the Browse button and then select the folder you extracted the MCM200W003.exe Hotfix to and click OK.

 

7.       Select the template which corresponds to the desired language. i.e., en equals English. Click Open.

 


8.       The Citrix MetaFrame Conferencing Manager Outlook form opens. Copy the .ICA file you created above and or the location to a Web Interface the attendee can login through.

 

9.       From the menu bar click Tools click Forms click Publish Form As


10.   From the Look In drop down box select Organizational Forms Library.

Note: If you do not have Organizational Forms Library listed in the drop down box then you will need to refer to one of the following Microsoft Support Q articles.

11.   In the Display name text box, type MetaFrame Conference. The same name appears in the Form name text box as you type.

Note: You can give the form a Display name other than MetaFrame Conference. However, you must use MetaFrame Conference for the Form name. If you use a different Form name, users cannot access the form.

Click the Publish button to continue.

Note: If you receive an error Unable to successfully publish the form due to a MAPI error then please refer to Cannot Publish EForm to Organizational Forms Library (Q241707) found in Appendix section 5.

 

12.   Close the form. If prompted to save the form then click No.

13.   Close all open Microsoft Outlook windows and exit Outlook.

10. 6. 3 How to Install Conferencing Manger Add-In Button for Microsoft Outlook

The following defines how to install the Conferencing Manager Outlook Add-in button, which enables the end-user to click to launch the MetaFrame Conference custom Outlook form.

1.       Click Start type CMD and click OK.

2.       Change the drive and path to the location you extracted the MCM200W003.exe files to.

Note: If you will be installing from a network share, you are required to create a mapped drive. UNC names are not supported and could result in a failed install.

3.       At a command prompt, type: InstallAddIn.cmd <language>

where <language> is one of:

         En = English

         Fr = French

         De = German

         Ja = Japanese

         Es = Spanish

 

 

You have now successfully configured Citrix MetaFrame Conferencing Server to integrate within Microsoft Exchange Server.
