10. 2.    How to Install the Conference Room

The Conference Room is the component that provides the actual shadowing session within which users collaborate during a conference. Like the User Interface, the Conference Room is a published application that runs on MetaFrame XP servers. Unlike the User Interface the Conference Room runs as a hidden MetaFrame XP published application. As a result, it does not visibly appear in a users list of available applications. Instead, users automatically connect to this component from the MetaFrame Conferencing Manager User interface when a conference is started.

When installing the Conference Room component the installation program also installs the Conference Room Manager service. It keeps track of all servers meeting information (i.e. Attendees, keyboard/mouse control). The Conference Room service communicates with the Conference Organizer service. When a new conference is requested via the client component, Conference Organizer determines which Conference Room server should be used. This is determined per the Load Manager parameters defined for that MetaFrame XP farm.

Citrixs best practices recommend installing the Conference Room component on dedicated MetaFrame XP servers. If you will be deploying a high number of concurrent connections, you can gain performance improvements by installing and load balancing Conference Room component on multiple MetaFrame XP servers.

Because Conferencing Manager leverages the shadowing capabilities of MetaFrame XP, a conference is run on and all users are connected to one MetaFrame XP Server running the Conference Room component. Thus, Citrix has documented the average number of users per conference at around twenty five but this number very much depends on many factors. To determine the average number of users per conference in your environment, I recommend performing a pilot to see how many real world users your applications and hardware will be able to handle.

For more information on how to perform scalability tests with freely available tools refer to section 3.2, page 15 of http://www.redbooks.ibm.com/redpapers/pdfs/redp3629.pdf.

The Conference Room component runs as a hidden published application on MetaFrame XP servers with Service Pack 3. The renaming of this application is not supported.

The following defines how to install the Conferencing Manager User Interface component on a MetaFrame XP Server.

1.      Insert the Citrix MetaFrame Conferencing Manager 2.0 CDROM and click the Install Citrix MetaFrame Conferencing Manger button.

2.      Click Next to continue

3.      Click to select the, I accept the license agreement radio button and click Next to continue.

4.      Select the destination folder for the Conferencing Manger application files. Click Next to continue.

5.      Click Conference Organizer and select Not Available right click MetaFrame Conference Manager and select Not Available. Verify the Conference Room node is enabled and click Next to continue.

6.      Specify an account with MetaFrame XP administrator privileges. Click Next to continue.

7.      Click Next to continue.

8.      Click Finish

9.      Enter the NetBIOS name, FQDN or IP address of the server acting as the Conferencing Organizer.

10. Click the Conference Room Licenses tab to specify the license type Click to select the MetaFrame XP server running the Conference Room service in the Server List list box Click to drop down the Choose license type drop down box and select the license type of the above selected conference room server. Click the Set All button if all servers will be configured alike.

11. Open the Management Console for MetaFrame XP click to expand the Application node.

12. Right click the Citrix Conference Room published application and then click Properties.

13. Click the Server node and verify all the servers that are running the Conference Room Service are listed in the Configured Servers box. Click OK when finished.

14. By default, setup will add the Conference Room and Citrix MetaFrame Conference Manager published applications published on server(s) belonging to a domain the Domain Users group and server(s) that do not belong to a domain to the Users group. If you will be changing this configuration click the Users node and select the users / groups you want to give access to the Conferencing Manager application.

Important! Only users whose user accounts are assigned both to the MetaFrame Conferencing Manager Conferencing Manager and to the Conference Room published application can participate in a conference. Therefore, if you modify the user assignments, make sure that both published components have identical user assignments.

You have now successfully installed and configured the Conference Room component. Please repeat the above steps for any additional server(s) you want to load balance for high availability.
